Location: Sioux Falls South Dakota

This Assistant Administrative Support position provides administrative and secretarial support to the Clinical Director / Principal, teachers, and other school personnel, including special projects, correspondence, and data compilation. This position may perform duties of a sensitive and confidential nature.

DIMENSIONS:
Provides administrative support to Clinical Director / Principal, Teachers and other Education Staff: 70% of the Work Period

Special Event support: 15% of th! e Work Period

Data Input: 15% of the Work Peri! od

PRIMARY RESPONSIBILITIES AND DUTIES:
1. Maintains strict confidentiality and assures discreet handling of all documents, appointment and business operations.

2. Provides secretarial support to the Clinical Director / Principal, Teachers and other education staff, to include typing and generating documents, distributing materials. Answers general department telephones, screen callers, relays messages, and greets visitors. Types and/or creates routine correspondence. Acts a back-up for front reception area.

3. Assists members of the Education Team with all aspects of continuing education. Performs related job duties to include work on specific assigned projects during times of events and providing project support to training staff.

4. Uses efficient organization and time management skills to manage daily office procedures to include authorization of payroll, supply orders, maintenance requests and travel requisitions.

! 5. Assists in preparation of materials for meetings as directed by the Principal.

6. Uses various software applications such as spreadsheets, databases, word processing, and graphics packages. Operates personal computer to access e-mail, electronic calendars, and other basic office support software.

7. Operates office equipment such as photocopier, fax machine, and calculator; coordinate the servicing of equipment.

8. Schedules meetings and meeting/training rooms, takes and transcribes meeting minutes, provides administrative support.

9. Identifies work priorities, organizes work and maintains administrative files.

10. Updates, files and retrieves materials.

11. Assist in coordination of continuing education requirements for all Education Staff.

12. Prepares, updates and maintains various records, protocols and procedures and company documents.

13. Completes and monitors staff participation in policy r! eview, meetings and staff trainings.

14. Reconciles credit car! ds for Education.

15. Oversees Therap training application and review for Education.

16. Performs other duties as assigned by the Principal.

QUALIFICATIONS:
A High School education or G.E.D. is required: additional post-secondary training is preferred.

A minimum of three (3) years of proven secretarial experience is required. Knowledge of current computer software (MS Word, Excel, PowerPoint, and Access) and office technology is required.

Tact, diplomacy, organizational skills, attention to detail, effective oral and written communication skills, flexibility, ten-key-by-touch, sound judgment and proven spreadsheet and word processing skills are required.

PHYSICAL EFFORT:
Sedentary work requires the ability to sit a majority of the work period. Occasionally lifts and carries items weighing up to 35 pounds. Requires repetitive movements of the wrists, hands and/or fingers, the ability to receiv! e and express detailed information through oral communication, visual acuity, and the ability to read and understand written directions.

WORKING CONDITIONS:
Work is performed in an office environment. This position has extensive telephone and personal contact with community leaders and auxiliary members to schedule meetings, management and staff throughout the organization to provide information, with visitors when providing tours, and with attorneys to obtain estate information. This position may work some evenings, weekends and overtime during events throughout the year.

This position has been evaluated as a Level III in accordance with the Occupational Safety and Health Administration (OSHA definition of Occupational Exposure to bloodborne pathogens).

Level III: Positions in this category do not require the performance of tasks which involve exposure to blood, potentially infectious body fluids, or hazardous waste.
